Know The Process Of Project Management Planning And Understand What It Can Do For You

A simple explanation of how important project management planning is: The actual building of a house will take only about half of the total time spent planning it. This was the statement of an engineer talking about how important planning is.

You need to spend a lot of time making sure that your plan is perfect, or almost perfect. This is your only way to assume possible problems and plan solutions for them, set your goals and think of ways to achieve them, and so on.

Being prepared is one portion of project management management. It is related to using schedules to plan and report the progress of the project.

There is a step-by-step process on how to carry out and complete a task. The goal of doing this is to make sure that goals are achieved and possible problems are given solutions.

The importance of being organized depends on how big the project is. But generally, project planning is very significant because starting another project is a big risk. It involves large amount of time and money.

With enough preparation, you can:

• set out the expectations of your customers;

• set out the expectations from management;

• calculate the project cost and decide its budget;( How To Make A Budget)

• plan the resources and coordinate them; and

• track the project’s progress.

The Step-by-Step Process

Remember, project planning is a very critical stage in project management. So, it is also important to follow a step-by-step procedure of project management planning.

1.Identify the project’s stakeholders. These are the persons or entities that may be directly or indirectly impacted by the status of the project. Usually, stakeholders include the project sponsors, project managers, project teams, users, and customers.

2.Establish the different needs of the stakeholders. You can do this through interviewing the stakeholders. Ask them indirectly about their needs. After the interview, summarize and enumerate all their needs.

3.Set your project goals through the enumerated needs. These goals should still be ranked according to importance.

4.Identify the various project deliverables. What should be delivered in order to meet the set goals? How and when will these items be delivered?

5.List the tasks necessary to be carried out for every project deliverable. The amount of needed effort to complete the work and the persons who will carry out the work should be identified. The accurate date that the deliverables should be achieved or delivered must also be determined.

6.Know the persons who will lead the project and be the members of the project team.

7.The communications plan should be done. It will show who will be kept informed by whom about the project details and updates. This can be effectively done by making regular progress report, maybe weekly or monthly.

8.Identify possible risks and problems during the project progress. Some risks or problems may include cost and time estimates, unexpected cut on the budget, and slow customer feedback.

9.Offer probable solutions to the identified possible problems. As early as the project planning stage, you should assume to have the possible problems and create solutions for that. This will help you be prepared during the unexpected.

Planning a project can be a very difficult task. But you can look at it as a challenging one especially since it can make or break your project.

Through this step-by-step guide of project management planning, you are assured to make the best out of your project and be prepared for the possible negative outcomes.
